Course Booking Terms & Conditions

Policy Overview

This document sets out our process and policy for our customers booking a course or place on a course with us.

Proceeding with any booking brings into existence a legally binding contract which you agree to before SCTNI Limited will commence or deliver any services or operations.

Booking Process

Our preferred method of communication is via email.

Our standard booking process following a course enquiry is that clients will be provided with a quote via email for their requested course.

The quote will contain the various course details, including date, times and any other relevant information.

Courses are not considered “booked” unless payment has been made, or an official purchase order provided. On occasions, arrangements will be considered where an agreement to accepting the course as being “booked” on the provision of a signed booking form or accepted / confirmed quote.

Before proceeding any further with booking, clients are required to acknowledge receipt of, and agree to the terms and conditions of the booking.

Important note:

Your booking brings into existence a legally binding contract between yourself and / or a company which you represent, and SCTNI Limited on these terms and conditions. Bookings are formalised on receipt of a booking confirmation (by email) including these terms and conditions. An individual or organisation in receipt of these has 24 hours to reject or withdraw from the agreement which muse be done by emailing admin@sctni.co.uk. Any term sought to be imposed by you in any purchase order or correspondence will not form part of the contract.

Payment Terms

Our standard payment terms are that we take full payment at the time of booking to secure your place or required dates. Dates are not considered “confirmed” unless the booking process above has been completed.

If any amount due to SCTNI Limited, under or in, connection with these terms and conditions remains outstanding beyond the due date, SCTNI Limited may:

  1. Immediately suspend the credit account between the receiver and SCTNI Limited.
  2. Withhold any associated course certification / submission of results to Awarding Organisations or proof of attendance on the course until full payment is made
  3. Suspend the course, or refuse entry to individual learners until full payment is made.

Course transfers or cancellations

All requests for transfers and cancellations must be received in writing to admin@sctni.co.uk

Should circumstances mean that you need to cancel, transfer, or change the date of your course, the following charges will apply, dependent on the notice given by the client.

  1. 29 calendar days (inclusive) or more prior to the course start date:
    • No penalty
  2. 15 – 28 calendar days prior to the course start date:
    • 50% of the course fee
  3. 14 calendar days or less prior to the course start:
    • Full course fee

Individual learner transfers or cancellations

Where learner information has been provided to us in advance, the client should consider the learner “registered” at that point. Where clients substitute learners for whatever reasons after this point, this will be treated as a transfer or cancellation.

Where courses have been invoiced as one ‘flat fee’ to corporate or business clients, the costs per learner will be worked out as the course fee divided by the number of learners registered on the course.

Unforeseen circumstances

On occasions, unforeseen circumstances may require us to cancel a course. In such circumstances, you will be given as much notice as possible, and either a free transfer to another course date or a full refund.

Learner non-attendance

If you do not attend a course, and you have not previously notified us, the full course fee remains payable. Notifications need to be sent in writing to admin@sctni.co.uk

Learner late arrivals or missed sessions

If you arrive late for a course or are absent from any session. We reserve the right to refuse to accept you for training if we feel you will gain insufficient knowledge or skill in the time remaining. In all such cases, the full course fee remains payable.

On regulated qualifications, to conform to Awarding Organisation (AO) requirements, full attendance at all sessions is mandatory and will be treated as Learner Non-Attendance (see above)

Learner ID

To conform with Ofqual and Awarding Organisation requirements, learners will be required to produce photographic identification to trainers and assessors, such identification could include:

  1. Government issued photographic document for example:
    1. Driving Licence
    2. Passport / Passport Card
    3. Northern Ireland Department for Infrastructure 60 + Smart Pass
    4. Northern Ireland Department for Infrastructure 60 + Senior Smart Pass
    5. Electoral ID Card
  2. Employer / Volunteer ID Card (on Corporate or employer arranged courses)
  3. Student ID Card
  4. Warrant card
  5. Proof of age card

Learning Resources

SCTNI Limited resources such as workbooks, PowerPoint resources, worksheets or handouts are copyright of SCTNI Limited and are not for distribution or re-use on non SCTNI Limited courses. We will seek to recover compensation and damages on any use of our material without our consent.

Certain qualifications require specific learning resources as indicated by the Qualification Specification by the Awarding Organisation; this is a requirement of our approval to run these courses.

SCTNI Limited have a pool of resources available for learners to avail of during their course, which will be made available free of charge as part of course fees, or copies made available to learners depending on the agreement negotiated at the time of booking.

Loan material not returned at the end of the course will be invoiced to the learner at full replacement cost
